Under UK GDPR, if you outsource work containing personal or sensitive data:

👉 You are still responsible for that data

In most cases:

• You are the data controller
• The transcription provider is the data processor

That doesn’t mean you shouldn’t outsource — it just means you need to choose carefully.

If you’re considering a transcription or typing provider, these are the key things to look for.

✔ 1. Are they clear about how your data is handled?

You should be able to understand their process without digging.

If it’s vague or missing, that’s a red flag.

✔ 2. Do they mention UK GDPR or data protection responsibilities?

You don’t need legal jargon — but they should show awareness of:

• Controller vs processor roles
• Secure handling obligations

✔ 3. How are files transferred?

Avoid:

• Emailing sensitive audio files as attachments

Look for:

• Secure upload systems
• Encrypted file transfer

✔ 4. Who actually does the work?

Ask:

• Is the work done in-house or outsourced further?
• Are the individuals vetted?
